Kettering Arts Centre Administrator : Job Description and Person Specification
Employed by: St Andrew’s Church Reporting to: St Andrew’s PCC
The successful candidate will be required to work for 16 hours a week, flexibly and mostly from home.
Kettering Arts Centre hosts a varied programme of comedy, music and drama performances, usually two to three events per month.
is able to work flexibly, with some very busy times and quieter times
is a natural team player, able to motivate and organise teams of volunteers
is a networker, both on social media and face to face
is a good communicator
is able to work with the Arts Centre Manager and other key personnel closely to ensure the smooth running of the Arts Centre.
has a marketing background
can use design software packages to create publicity
Main Tasks and Areas of Responsibility
Fielding email and phone requests for bookings (referring them to Arts Centre Manager, who will make the actual bookings and pass on the dates and info back to the Administrator)
Liaising with Kev Buxton, music promoter re music bookings
Contracts with agents/acts
Sales figure updates
Final figure confirmations
Invoices passed onto treasurer
Help agents with promotion eg passing on local media contacts so that they can arrange radio appearances
Finding out if the acts have riders or any special requirements
printing sheets to record ticket sales
adding tickets to web sales site. along with details of the show
taking tickets to Waterstones
weekly picking up money and taking sales update from Waterstones,
recording Waterstones cash, then passing on for paying in
Creating publicity booklets (3-4 a year) and sending off files electronically to printers
Distributing (or ensuring the distribution of) 10,000 booklets each time
Listings on various listing sites
Details sent to Council Highlights to deadlines
press releases to local media
involvement in local events and community groups to promote the arts eg Carnival, Kettfest, Groundworks etc
Regular emails out to members, announcing new acts first and updates
From December each year selling renewals and new memberships
Create and order new membership cards (late Nov)
As each member signs up or renews, adding them to the email list, sending out a welcome email, recording details and payment, create a card for them and give them vouchers
Responding to emails from members
Processing payments/renewals as they come through the door or are given at events
Printing out internet sales list
Ensuring all ticket reservations are ready to be picked up
Ensuring technical back up in place
Ensuring bar is stocked, beer ordered
Ensuring enough staff present (bar team rota run by volunteer already)
Ensuring door staff in place to take tickets and count people in
Ensuring the church is set up (clearing stage, moving chairs, screens up, bar set up (by bar team), church paraphernalia stored away)
Act rider prepared and ensuring artist liason is covered
Booked and prepared Green Room.
And to complete other tasks to further the good administration of the Arts Centre at the request of the Arts Centre Manager or the Vicar.
Terms and Conditions
4 weeks paid holiday per year plus bank holidays.
pay: 16 hours a week @ £7 per hour.
3 months probationary period.
3 months written notice
